1. Information WebScale receives
WebScale may receive names, email addresses, phone numbers, business or artist details, website goals, service areas, social links, project notes, proposal and invoice records, approval signatures, and files such as logos and photos. Wix and its payment providers process payment details on their secure pages; WebScale does not ask customers to send full card numbers by form, email, or phone.
2. Why the information is used
Information is used to review applications, communicate with leads and customers, prepare proposals and invoices, organize and build websites, verify approvals, provide support, maintain business and accounting records, prevent misuse, and comply with legal obligations.
3. Service providers and sharing
WebScale uses service providers, including Wix and providers connected through Wix, to host forms, manage contacts and projects, send communications, process signatures and payments, and operate the website. Information may also be shared when reasonably necessary with professional advisers or authorities, or to protect customers, WebScale, and others. WebScale does not sell personal information for money.
4. Files and public website content
Customers should submit only material they own or may legally use. Files submitted for a project are private working materials unless the customer directs WebScale to publish them on the customer’s website or separately authorizes another use.
5. Retention and security
Signed agreements, invoices, payment and refund records, approval records, and chargeback evidence are generally retained for 7 years. Project working files are generally retained for 90 days after handoff or archival, with any ordinary backup copy retained for up to an additional 30 days. Inactive lead records are generally deleted or anonymized after 24 months unless a longer period is reasonably needed for consent, dispute, security, or legal records.
These periods may be extended when law, tax administration, a dispute, a legal hold, fraud prevention, or an active customer relationship requires it. WebScale uses reasonable administrative and technical safeguards, but no internet or storage system can be guaranteed completely secure.
6. Choices and requests
A person may ask to review, correct, or delete information by emailing hello@webscaleagency.com. WebScale will verify the request and respond as required by applicable law. Some records may need to be retained for project, payment, security, tax, dispute, or legal purposes.
7. Children and changes
WebScale’s services are intended for businesses and adults, not children under 13. This notice may be updated as the service changes. The effective date above shows the current version.
8. Sensitive information and access
Customers and team members must not place passwords, full card or bank numbers, government identification, Social Security numbers, protected health information, or other unnecessary sensitive data in WebScale CRM notes or ordinary forms. Use the applicable provider's secure account or verification page. Access to project records is limited by role, and WebScale removes website access when ongoing work ends unless continued access is authorized.
